A guide to an effective first consulting meeting

The first discussion should clarify the problem and the next decision. It should not try to design the whole solution in one hour.

Context before the request

The initial request may be a CRM, dashboard or AI programme. Ask what changed and who feels the problem. Clarify the impact and what has already been tried. The requested tool may not be the right solution.

The real process

Describe one recent case from start to finish. Who acted? What information did they use? Where did they wait, and how did they handle exceptions? Concrete examples remove vague language.

The decision and sponsor

Agree which decision follows the first stage and who will make it. Even a strong diagnosis has little effect without sponsorship, data access and time from the team.

Constraints

Discuss the budget, timing, system limits, legal requirements and parallel projects early. They affect both the solution and the sequence.

A realistic outcome

The first meeting should end with a shared problem statement, missing information, required people and a proposal for the next step. If the solution already looks obvious, the discussion was probably too shallow.
